It’s a great time to invite guests to your Church Home.

Think about how you would plan for an event at your home? Plan with the end in mind.

Here is a suggested timeline to help you plan your successful event:

Week 2: Create Vision – Message – Theme
Week 1: Fourth of July Weekend

•  Vision – Plan your theme – What is the message that you would like to communicate to your guest. Talk about the way you would like to invite and welcome your guest; the environment you want to create while they are with you; and the feeling that you want them to have when they leave.

•  Form Your Committee – Choose your leadership in areas for Inviting, Welcoming, Reception, Appearance and Follow-up. Some people are good leaders. Some people are good workers. Everyone in your church has something to contribute; match the task with their gifts.

•  Prepare Your Community Canvass Mailing – This is a method of inviting the community into your church. So center it around your theme, your message and your church community. Work with one of our designers to create an appealing invitational piece. This is a cost effective method of designing and inviting the community to your Rally Sunday. Your mailing is based on the zip codes surrounding your church area. Plan three weeks before you want to mail your piece: a week to design and proof; a week to print; and a week to mail and deliver.

•  Check Your Inventory – For your Welcoming Committee:  In order to be prepared you may want to order Custom Welcome Folder Packages well in advance of your event. Personalizing your folders presents your Church in a different light. Your name sets you apart from other churches. For your Reception Committee: Plan your refreshment menu and order any food items well in advance. They can be delivered close to the event date. For your Appearance Committee: Check bathroom supplies; painting and repair supplies; and do any necessary landscaping.  For your Follow-up Committee: Plan what item you’re going to give your guest when they leave. You could order Mugs, Bookmark Ribbons, Tote Bags, Gift Bags or Pens with your church information imprinted on them. This is a great way to remind them of your church and your Rally Sunday event. With everything, planning ahead means being prepared.

•  Invite – Invite – Invite – Two or three weeks prior to an event is a great time to invite people to your Rally Sunday event. People need to have enough notice to plan and attend but not so much notice that they forget. Utilizing the community canvass mailer, gives them a physical invitation that they can post on their refrigerator as a reminder. It’s also a great way to reach out to people in your community that may be looking for a Church “Home”. This will give you an opportunity to showcase your Church “Family”.

• Invite – Invite – Invite – This appears to be redundant but your event will be successful if you have guests! This is a great time to challenge your membership to personally invite new guests to the Word of Christ. In order to have a great turn out your inviting needs to include both a personal invitation and a mailed invitation. Your congregation can reach people they know but your mailer reaches people you may not know. They may live right around the corner.

• Make Things Sparkle – Appearances are important. With a critical eye, look at your church from a guest’s perspective. Plan a Sparkle Day where your members come to polish their church “Home”.
